Privacy Policy

Pooly LLC (“Pooly,” “we,” “us,” or “our”) provides software for pool service operators. This Privacy Policy explains what information we collect when you visit poolyai.com or use our beta product, how we use it, who we share it with, and the choices you have.

Information we collect
We collect three categories of information:
- Information you give us. Your email address when you join the beta waitlist or contact sales. Your name, business name, phone number, and message content when you fill out our contact form. Information you input into the product if you become a beta customer (customer records, routes, service history, chemistry readings, etc.).
- Information collected automatically. Standard log data including IP address, browser type, pages visited, referrer, and timestamps. We use first party analytics to understand which pages convert and which do not.
- Cookies and similar technologies. We use a small number of cookies for session continuity and analytics. You can accept or reject non essential cookies through the banner shown on your first visit.
Analytics providers
We use three analytics providers, with different policies on what loads for whom:
- Plausible Analytics. Cookieless, first-party, and aggregate by default. Loads for every visitor. Captures page views, referrers, country, and outbound link clicks. No personal identifiers, no cross-site tracking, no behavioral profile.
- Google Analytics 4. Cookie-based, with IP anonymization enabled. Loads only after you accept the cookie banner. Used for funnel analysis and audience reporting.
- Microsoft Clarity. Records anonymized session replays, click heatmaps, and rage-click signals so we can find and fix usability issues operators run into. Loads only after you accept the cookie banner. Form input fields and other sensitive elements are masked by default and not recorded.
Rejecting the cookie banner blocks Google Analytics and Microsoft Clarity from loading at all. Plausible continues, since it collects no cookies and no personal identifiers.
How we use information
- To respond to your inquiries and provide the beta product.
- To send you transactional and product update emails. We do not sell email lists.
- To improve product, marketing, and content based on what visitors actually do.
- To detect, prevent, and address fraud, abuse, and security issues.
- To comply with legal obligations.
How we share information
We do not sell your personal information. We share it only with service providers we use to run the business (hosting, authentication, analytics, email delivery, payment processing, and accounting) under written agreements that limit their use of the data. We may also disclose information where required by law, to protect the rights or safety of Pooly and others, or in connection with a corporate transaction.
Service providers and sub-processors
We share personal information only with vendors that help us run the Service, under written agreements that limit their use of the data to providing services to us. Our primary sub-processors are:
- Amazon Web Services (AWS). Cloud hosting and infrastructure. Operator and customer data is stored on AWS in the United States.
- Clerk. Authentication and identity. Clerk handles sign up, sign in, sessions, and account security, and processes credentials, email addresses, and authentication metadata.
- Finix. Payment processing. Finix processes card and bank payment data. Full account numbers are tokenized and are not stored on Pooly servers.
- Intuit (QuickBooks Online). Accounting sync, available only if you connect a QuickBooks account. We share the invoice, payment, and customer records needed to keep your books in sync.
- OpenAI and Anthropic. Power certain AI features. Data sent to these providers through their APIs is not used to train their models. We send only the inputs needed to generate a result.
We also use the analytics providers described above, plus providers for database hosting, email delivery, and customer relationship management. We may add or change sub-processors as the product evolves; material changes are reflected here.
Payment information
Payments processed through Pooly are handled by our parent company ClayPay and our payment processor, Finix. Card and bank account numbers are tokenized by the processor and are not stored on Pooly servers. Refer to the Finix and ClayPay privacy disclosures for details on how payment data is processed.
Data retention
We keep personal information for as long as needed to provide the product, comply with our legal obligations, resolve disputes, and enforce our agreements. You can request deletion at any time by emailing us.
Your rights
Depending on where you live, you may have the right to access, correct, delete, or port your personal information, or to opt out of certain processing. To exercise any of these rights, email admin@poolyai.com. We will respond within 30 days.
Children
Pooly is a B2B product not directed at children under 16. We do not knowingly collect personal information from children.
International transfers
Pooly is operated from the United States. If you access the site from outside the US, your information will be transferred to and processed in the US.
Changes to this policy
We may update this policy as the product and our practices change. Material changes will be posted here with an updated date at the top of the page.
